  • Ensure you have MigrationWiz-Hybrid Exchange Management licenses, which can be purchased from MigrationWiz’s store or your usual sales channels.
   Prerequisites
  • Hybrid Configuration: A working hybrid configuration must be set up between your source Exchange environment and Microsoft 365. This involves:
  • Hybrid Configuration Wizard: This should be successfully run, ensuring connectors, mail flow, and MRS Endpoints are correctly set up.
  • MX Record: Ensure mail flow is set up with the correct MX records pointing to either Exchange Online or On-Premises, depending on your cutover preference.
  • MRS Endpoint: The MigrationWiz tool needs to access the MRS Endpoint within Microsoft 365.
  • Exchange Version: The source environment must be Exchange 2013 or later (Exchange 2010 requires CSV file imports for mailbox and settings).
  • Authentication: Microsoft’s discontinuation of Basic Authentication in Exchange Online requires the use of Modern Authentication.
   Project Creation in MigrationWiz
  • Create Hybrid Migration Project: You will create a project type called "Hybrid Migration Project" within the MigrationWiz console. This project can be assigned to one customer at a time.
  • Source and Destination Settings: Specify the source endpoint (On-Premises Exchange) and the destination (Microsoft 365).
  • Admin Rights: The admin account used must have appropriate rights like 'License Admin' and 'Recipient Management' in Microsoft 365.
   Mailbox Discovery
  • Exchange Agent: Used for automatic discovery, requiring installation on an Exchange server/workstation.
  • Import CSV: Used for manually importing mailbox data (particularly useful for environments before Exchange 2013).
  • Batching Mailboxes: After discovery, mailboxes are grouped into batches, and you can move mailboxes between batches as needed.
   Syncing Mailboxes
  • Sync Process: After discovery, syncing begins, where mailboxes are updated in the Microsoft 365 environment. Options include:
  • Delegates: You can sync delegates along with their corresponding mailboxes to ensure there is no disruption.
  • Licenses: Optionally assign Microsoft 365 licenses to mailboxes during sync.
   Finalizing Migration
  • Finalization: After syncing to 95%, you can start the finalization process, which involves migrating the last 5% of mailbox data and applying final settings.
  • Custom Batch Settings: At this stage, settings like IMAP, POP, OWA, ActiveSync, and retention policies can be applied.
  • Notifications: You can notify users about the migration at this stage.
   Delegates Management
  • Delegate Handling: Delegates are associated with their respective mailboxes. During migration, delegates should be migrated along with their mailboxes to avoid disruptions. You can manually check and move delegates as needed.
   Batching Mailboxes
  • Move Mailboxes Between Batches: If needed, you can move mailboxes between different batches before they are synced. The move is only possible if the batch is in a 'Not Submitted' status.
  • Unbatched Mailboxes: Mailboxes can also be placed in an unbatched state temporarily and re-imported later if needed.
   Error and Log Management
  • Batch Logs: Monitor errors during migration in the batch logs section.
  • Project Logs: These logs are essential for understanding migration issues at the project level.
  • Mailbox Deletion: If necessary, mailboxes can be permanently deleted from batches (as long as they are not in syncing or finalization stages).
   Migration Statuses
  • Not Submitted: The batch hasn’t been submitted for syncing yet.
  • Syncing: Syncing is in progress; no new mailboxes can be added.
  • Synced: Mailbox sync is complete to 95%, awaiting finalization.
  • Finalizing: Final steps of the migration are being processed.
  • Finalized: Migration is complete; mailbox is fully operational in Microsoft 365.
  • Sync Failed: The migration encountered an error.
  • Sync Stopped: Sync was manually stopped by the user.
   Final Cutover
  • After finalizing the migration, the mailboxes will be fully transitioned to Microsoft 365, and users will begin using their cloud mailboxes instead of on-premises ones.
